UG's eUniversity portal – a milestone in the university's IT services

A modern and secure IT infrastructure will be gradually introduced at the University of Gdańsk from November 2. The eUniversity (Polish: eUczelnia) system will make it easier for students, deans' offices and the central administration to handle processes related to teaching and learning efficiently. This is a milestone in the development of the university's IT structures.

The functionalities of the new eUniversity system include, for example, electronic indexes, class enrolment and electronic submission of applications to the dean's office. The improvement of operations in this area was promised in the election campaign by Rector UG prof. Piotr Stepnowski. This process involved checking various systems and preparing for the introduction of the best one. The eUniversity system has been operating successfully at the Gdańsk University of Technology for years.

As a result, many of the processes in place at our university will be replaced by electronic circulation. The eUniversity project also involves building a reliable and secure IT infrastructure and accelerating the process of progressive computerisation of the University of Gdańsk.

The introduction of the eUniversity system is the result of a cooperation agreement with the Gdańsk University of Technology on the exchange of experience in creating and operating IT infrastructure. It is worth noting that, as part of the cooperation between the FarU universities, the Ministry of Education and Science provided funds for the integration of the universities in, among other things, IT solutions. The total funding received for this purpose under two projects amounted to more than PLN 3.3 million.

Faculty and central administration staff have been able to test the system since April. Currently, refresher training is taking place for deans' office and institute employees who handle student and course services, and all employees can already view the training materials posted on the Employee Portal.

'On November 2, we will begin the process of implementing the eUniversity system. Importantly, the changes will be implemented gradually, and each time, we will inform UG students and staff in detail about the next stages in announcements,' says Vice-Rector for Student Affairs and Education Quality dr hab. Arnold Kłonczyński, prof. UG. 'For this reason, the process related to student admission is still taking place in the system that has been in place until now. The changes we will introduce this year will not cover the service of doctoral students and postgraduate students.'

Schedules of the changes affecting each group – employees and students – will be available on the Employee Portal and the Student Portal, respectively, with detailed instructions.

In addition, the Student and Doctoral Activity Centre (CASiD) is preparing an instructional video that will show all the steps needed to navigate the new system. For UG employees, on the other hand, several detailed instructions have been prepared under the 'eUniversity' tab in the Employee Portal, and thanks to the test server provided, there is an opportunity to practice the new functionalities.

The eUniversity IT system will be implemented gradually from November 2, 2023.
